How to Send Email to HR for Job With Resume: Step by Step

10 min read1 viewsBy Studojo Team

Save your resume as a PDF with your name on it, write a subject with the role, keep the body to four to six lines, attach the file, check it, send, and follow up once. Template inside.

You have the resume. You have the HR email ID. And you are looking at a blank Gmail window, wondering if "PFA my resume" is enough. It is not, and the fix is simple.

Below is the whole process in the order you will actually do it: the file, the recipient, the subject, the body, the attachment, the check and the follow-up. Then a template to copy, the mistakes that get resume emails skipped, and the one step most people miss.

How do you send an email to HR for a job with a resume?

Save your resume as a PDF with your name in the file name, open Gmail and click Compose, write a subject that names the role and you, write a body of four to six short lines, attach the PDF, check everything once, and send. If you hear nothing after about a week, follow up once in the same thread. Here are the steps:

  1. Save the resume as a small PDF with a clear file name.
  2. Put one right person in the To field.
  3. Write a subject line with the role and your name.
  4. Write a short body: who you are, your proof, your ask.
  5. Attach the PDF and wait for the upload to finish.
  6. Check names, company, attachment and links.
  7. Send, then follow up once.

How should you name and save your resume file?

Save it as a PDF and name it FirstName_LastName_Role_Resume.pdf, for example [YourName]_DataAnalyst_Resume.pdf. HR downloads a lot of files called "Resume.pdf" and "CV final (2).pdf". A file with your name and the role on it is easier to find, forward and upload into their system.

A few more rules for the file:

  • PDF, not Word. A PDF keeps your layout the same on every laptop and phone. A Word file can shift fonts and break the formatting you spent an evening on.
  • Keep it small. A one or two page resume should be well under 1 MB. If yours is much bigger, it is usually carrying a large photo or a scanned page. Export it again with Save as PDF or Download as PDF.
  • No phone photos or scans. Text inside an image is hard to search, and the software HR uses to sort applications may not read it properly.
  • Make links clickable. Your LinkedIn and portfolio links should open when clicked inside the PDF.
  • Put the best thing at the top. Recruiters spend about 6 to 7 seconds on a first resume scan (Ladders eye-tracking study, 2018), so your strongest project or result belongs in the top third.

Who should you send the resume email to?

If a job posting names a contact, send it to that person. If it gives a generic careers or HR address, use it, and apply on the official portal too. Put one person in the To field. Never paste a list of HR addresses into To or CC: every reader can see they are one of many, and each one assumes someone else will reply. Later in this guide we cover the person who often matters more than HR: the hiring manager.

What subject line should you use?

Use the role, your name, and one detail that makes you worth opening. The subject is the only part HR sees before deciding to click, and "Resume" or "Job Application" on its own gives them no reason to. A few formats that work:

  • Application: [Role] | [Your Name], [Degree] 2026
  • [Role] (Job ID [ID]) | [Your Name], [X] years in [Field]
  • Referred by [Referrer Name] for [Role] | [Your Name]
  • [Role] internship from [Month] | [Degree] student, [College]

What should you write in the body of the email?

Write four to six short lines: a greeting with their name, one line on who you are and which role you want, one or two lines of proof, a line saying your resume is attached, and one ask. That is all the body needs. The resume carries the detail, and the body's only job is to get it opened.

Three small things that make a difference:

  • Write "I have attached my resume" instead of "PFA". It reads like a person wrote it.
  • Leave CTC and expected stipend out unless the posting asks. If it does, give one range in rupees and move on.
  • End with one question they can answer in a line, such as whether you can be considered or have a short call. Not three questions, and not zero.

How do you attach a resume in Gmail?

On a laptop, click Compose, write your mail, then click the paperclip icon (Attach files) at the bottom of the compose window and choose your PDF. On the Gmail phone app, tap the paperclip at the top of the compose screen and pick the file. Wait until the attachment shows its name and size before you hit Send.

Attach the file itself. Do not send only a drive link. A link asks the reader to click, maybe request access, and wait, and a file still set to private just shows an error. If you want to share a portfolio, put its link in your signature and still attach the resume.

What should you check before you hit send?

Check five things: the reader's name is spelled right, the company name is right (not left over from your last mail), the role matches the posting, the attachment opens, and every link works. The easiest way to check all of it is to send the mail to yourself first and open it on your phone, because that is where many people will read it.

What is a good resume sending mail format?

A good resume sending mail format is short enough to read on a phone without scrolling. Here is one you can copy for a posted role, whether you are a fresher or a few years in. Swap the proof line for your own strongest result.

Subject: Application: [Role] | [Your Name], [Degree] 2026

Hi [Name],

I am [Your Name], a [final-year Degree student at College / Current Role at Current Company], and I would like to apply for the [Role] role at [Company].

[One line of proof: a project, internship or result that matches what the role asks for.]

I have attached my resume as a PDF, and I have also applied through your careers page.

Could I be considered for this role? Happy to take a short call whenever it suits you.

Thanks,

[Your Name]

Which mistakes get a resume email skipped?

Most of them come from copying a format without reading it. Watch for these:

  • An empty body with only "PFA" and an attachment.
  • A subject line of "Resume", or no subject at all.
  • The resume as a Word file, a phone photo, or a private drive link.
  • A file called "Resume.pdf" with no name on it.
  • Dozens of HR addresses visible in CC.
  • "Respected Sir/Madam" when the person's name is on their profile.
  • Two paragraphs about passion and career objectives in the body.
  • Forgetting the attachment, then sending a second mail that says "sorry, attached now".

Is HR the right person to send your resume to?

HR is the right person for the process, but often not the person who decides. HR inboxes are full: an average job opening draws about 242 applications (The Interview Guys, April 2026, citing Business Insider data), and the success rate of a typical online application is cited at roughly 0.1% to 2% (same source). The person who decides whether you are useful is the hiring manager, or the team lead you would report to.

Studojo's position is plain: mass applying does not work, and neither do auto-apply bots that blast your resume to hundreds of postings. Recruiters have learned to spot them, for example by planting hidden instructions in job posts and by noticing one person applying to dozens of roles at the same company (NBC News, 17 November 2024). What works is the short, specific email you just wrote, sent from your own address to the hiring manager, with one follow-up.

So after you mail HR, send the same kind of email to the hiring manager: same PDF, same proof line, plus one line about their team's work. Finding that person and a working email for them is the slow part, and Studojo does it for you. It finds the person who can actually hire you (the hiring manager or team lead, not a generic HR inbox), verifies their email address, writes a personal email for that one person based on your background and their work, and sends it from your own Gmail. Setup takes about 2 minutes: you upload your resume. The people come sourced from 20,000+ databases, and it is a one-time payment, not a subscription.

The numbers so far: 8,500+ students signed up, 4,000+ matched with hiring managers and 28,000+ personal emails sent from students' own Gmail (Studojo's own records, September 2026). Replies are not guaranteed. If you want to try it, send your resume to the hiring manager with Studojo. For the bigger picture on writing to HR in India, read our Mail to HR for Job India report.

How do you follow up after sending your resume?

Wait about a week, then reply in the same thread so your first mail and resume stay in the conversation. Keep it to two or three lines and add one new detail. Follow up once. If there is still no answer, put the time into the next company.

Hi [Name],

Following up on my application for the [Role] role. My resume is attached again for convenience.

Since I wrote, I have [one new thing: finished a project, cleared a test, shipped a feature].

Happy to share anything else you need.

Thanks,

Frequently asked questions

Should I send my resume to HR as a PDF or a Word file?

Send a PDF unless the posting asks for Word. A PDF keeps your layout the same on every device. Name it with your name and the role, such as FirstName_LastName_Role_Resume.pdf.

What should I write in the email when sending my resume?

Four to six lines: a greeting with their name, who you are and the role, one or two lines of proof, a line saying the resume is attached, and one ask. Skip "PFA" and skip the paragraph about passion.

How do I send my resume to HR from my phone?

Open the Gmail app, tap Compose, write the subject and body, then tap the paperclip at the top and choose the PDF from your files. Keep the resume saved in your phone's downloads so it is easy to find.

Can I send my resume to HR when there is no job opening?

Yes. Mention something specific the company is doing, give one line of relevant proof, and ask to be considered for current or upcoming roles. Send it to the hiring manager for that team as well.

Should I CC several HR people in one email?

No. Write to one person at a time. A mail with a long CC list looks like a blast, and each reader assumes someone else will handle it.

Can I send my resume as a link instead of an attachment?

Attach the file instead. A link adds a step and fails completely if access is set to private. Put portfolio links in your signature and keep the resume itself as an attachment.
